Job Description
The successful candidate will be responsible for providing comprehensive administrative support across multiple functions within the store. Key responsibilities include:
- Providing professional relief reception and cashier services as required.
- Ensuring the accurate and timely filing of customer invoices and maintaining the debtors account.
- Assisting with accurate cycle counting as part of the inventory auditing procedure.
- Organizing and consolidating month-end statements for posting, including tabulating and posting data into record books.
- Compiling and maintaining records of business transactions and office activities, performing various clerical duties, and utilizing knowledge of relevant systems or procedures. This includes copying data, compiling records, and generating reports.
- Ensuring all documentation for the on-boarding of new employees is completed and submitted on time.
- Assisting the Store Accountant with the administration related to Skills Development and Employment Equity (EE) reporting.
- Maintaining accurate personnel files and records, including sorting leave forms, administering and reporting on Workers' Compensation Claims (WCA), and issuing documentation related to disciplinary actions.
- Providing assistance with recruitment administration and job advertising as required.
- Accurately capturing Goods Receipt Notes (GRNs) and Credit Voucher Receipts (CVRs) into the system, preparing, issuing, and sending out receipts, bills, policies, statements, and checks.
- Matching GRNs to captured invoices.
- Processing CVRs efficiently, including cases of incorrect quantities received, price differences, and damaged goods returned.
- Accurately and timely reconciling creditors to supplier statements.
- Investigating variances (e.g., price/quantity differences) and providing the outcome of the investigation to management.
- Resolving supplier queries professionally, accurately, and efficiently.
- Filing unpaid matched GRNs, delivery notes, orders, and buy-out details.
- Upholding and promoting the company values and culture.
Requirements
- Grade 12 (Matric).
- Business Management N4 - N6 qualifications.
- Human Resources N4 - N6 qualifications.
- 3 years of experience in general administrative duties.
