Job Description:Asset Management Officer

The Asset Management Officer is responsible for the comprehensive oversight and control of the organization's fixed assets. This role involves maintaining accurate records of asset counts on a quarterly basis and documenting newly acquired assets. The officer will manage the departmental asset portfolio effectively, efficiently, and economically.

A key function is the continuous management of the asset verification process. This includes maintaining a detailed register of asset movements and ensuring all completed asset movement forms are fully processed. The officer will conduct ongoing asset verification, identifying obsolete, redundant, and damaged items for write-off and disposal.

Regular monthly asset spot checks are conducted to ensure the asset register remains updated and accurate. The officer is responsible for updating the fixed asset register within the system with all relevant information. Additionally, the officer must update and reconcile the inventory control sheet by agreeing it to the fixed asset register.

Proper documentation and filing of all asset-related documents are essential, ensuring they are stored securely. The officer will assist in resolving audit queries related to assets, ensuring completeness and accuracy. Preparation of both quarterly and yearly asset disclosure notes is also a core responsibility.

Compliance with relevant prescripts, including the Supply Chain Management (SCM) policy and the Asset Management plan, is mandatory. Monthly safety assessments of all assets are required. Regular inspections are conducted to check the safety of buildings in accordance with Occupational Health and Safety (OHS) regulations. The officer must follow up on all OHS decisions and ensure compliance with Health and Safety Regulations.

Asset Safeguarding

The Asset Safeguarding Officer ensures the ongoing safety of all assets through monthly safety assessments. Regular inspections are performed to verify the safety of buildings in compliance with Occupational Health and Safety (OHS) standards. The officer is responsible for following up on all OHS decisions and ensuring full compliance with Health and Safety Regulations.

Requirements

  • National Senior Certificate Grade 12 with accounting or mathematics as a major subject.
  • Minimum of one year of relevant job experience.
  • Knowledge of administrative processes or asset management.
  • Proficiency in the Microsoft Office suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Valid driver's licence.
